There are a few things that should be checked either daily or weekly to maintain your Kahi account in good health. The following is a list of some important alerts to be aware of, and how to make sure things stay running smoothly!
-
Check the unconfirmed locations (for those not using an integration)
- It is very important that job site locations are updated/confirmed as soon as possible. We suggest doing this at least once a day to ensure locations are kept up to date and don’t become backlogged.
- Remember: if the address isn’t exact, you can update the location pin directly on the map first before saving/confirming!

-
Check alerts for offline gateways - both warehouse and mobile.
- Assets will not be tracked consistently if your warehouse gateway is offline. Review this article for some troubleshooting tips if you find your warehouse gateway has gone offline.
-
Assets will not be tracked consistently nor will locations be discovered if your mobile gateway (Raven or KVG) is offline. Offline indicates that the vehicle is not in use for a period of time or the OBD port connection is loose/disconnected. Check the connection. If it remains offline despite the vehicle being active/plugged in securely, please contact Kahi Support for further assistance.
-
Check low or critical battery alerts.
-
Identify if any assets need to have their battery replaced
- Typically batteries should last about 2+ years. However, incorrect battery placement or loose connection could indicate a battery issue. Check the placement of the battery on any affected assets and ensure good connection is made.
- You may also wish to check a battery’s power supply with a meter reader.
-
You can order more batteries from your Kahi account or send support@kahi.io a request for an invoice for more!

-
Check your orphaned assets.
- In most cases, an asset is orphaned because the location it is at has not yet been confirmed. Ensure you go through your locations first, then investigate any other remaining orphaned assets. Contact support@kahi.io if you need further assistance.

-
Check your homesick assets.
-
Assets that haven’t been returned to their Home Location will become homesick after a default amount of time. Review these assets to ensure they are still on a job, or if they need to be picked up and taken back to their Home Base.
- DID YOU KNOW? You can adjust the default homesick time. We set it at 14 days, but you can shorten or lengthen that time frame from your settings.

-
Use Kahi Reports.
-
Best Practices:
- SCHEDULE your reports on a daily (weekly, monthly) cadence. Having the data generated automatically always ensures you have it handy, for now and in the future
-
GENERATE job site summaries once a job has been completed (moved from “Active” to “Recent” status)
🔴 Asset Availability - a summary of assets available for deployment from warehouses
⚫️ Assets at Home - a summary of assets that are presently in their home (warehouse) location
🔵 Assets Offsite - a summary of assets that are not presently in their home (warehouse) location
🟢 Asset Summary - a summary of all assets within the organization
🟤 Daily Asset Summary - a daily summary of the status of all assets
🟡 Homesick Assets - a report to show the status of homesick assets
🟣 Offline Assets - a summary of assets presently offline

Tips for your team to undertake to improve management of your assets:
-
Ensure the beacon and battery are working properly on the assets when they arrive back to the warehouse. Techs need to use the Kahi Configuration app to use this feature.
- When the EQ comes back from a job, have them clean/ inspect the equipment and make sure the beacon is still attached and working.
-
When techs deploy assets to a job site, they can use the New Kahi app (Apple/iOS devices only for now) to scan all the assets so they attach to a job site in the system. If the job site is not in the system when they get there with the assets, the assets will appear as orphaned.

-
Integration Users: Assign or note the name of the assets to jobs within Encircle or Albi to have a backup of assets assigned to a job claim. Pictures are okay to confirm they did arrive but writing down or assigning which Kahi asset also helps with billing accurately to adjusters to expedite payment.
- Encircle offers training on using this feature. https://help.encircleapp.com/hc/en-us/articles/32287289820685-Managing-Equipment-in-Encircle
- Orphaned assets can be assigned to a job site but you need to know which job. If the GPS coordinates are all the same, you will most likely have a good clue of which job they should all be assigned.
- Lower the geofence to all active jobs to 50 meters. Edit then save the setting within each active job. This will help eliminate false reporting of assets at job sites near one another.
- Check the Raven Web to review Ravens that appear offline. If they are offline, they will not scan assets to show where assets are moved.
Future improvements:
- The New Kahi app will become more advanced and have parity with the new Web App when released. The new Kahi mobile app is currently best used to confirm assets within a unit/ building/ house as mobile gateways are not as accurate. It will also assign assets to a job within Kahi when the new app is used to identify assets.
Summary:
- Use the Kahi Configuration app for maintaining beacon health.
- Check beacons and equipment for damage when they arrive from a job.
- Scan assets with the New Kahi Mobile app with an iPhone or iPad to confirm assets are deployed to a specific location for additional accuracy alongside transporting with a Raven dash cam.
New Kahi Mobile App - Menu, Job Site Selection, and Asset Tracking Info:
Site Assets:
- Assets assigned to this job site
Site Assets with Checkmark:
- Asset beacons are online and assets are at the assigned jobsite
Site Assets with Question Mark:
- Asset beacon is not being detected. This could indicate the beacon is offline or that the asset has been moved offsite.
Nearby Assets:
- Tracked assets (assets with a beacon) that are NOT assigned to this job site. Assets that remain at the site for longer than 15 minutes are automatically assigned and will appear under “Site Assets”. Assets that depart in a tracked Kahi vehicle will eventually disappear from this list.
