What you need:
- Kahi Tracking Beacons, with battery installed
- Kahi Warehouse Gateway, set up & online
- Kahi Configuration App (available here)
- Kahi Google Drive link for tracking beacon placement suggestions https://drive.google.com/drive/folders/1R6phSUtPvAvKQbIvIvtXwy-mVKebcy0K
-
Kahi Catalog Asset Categories & Asset Models Reports (available in app)
- PREPARE the Kahi Tracking Beacon by inserting the battery. Ensure battery is inserted correctly, with the plus side facing UP - The "+" side of the battery needs to touch the "+" side of the metal battery casing. Press down on sleeve to ensure good contact, and screw cap on tight
- PHYSICALLY attach the tracking beacon to your asset (1 beacon per asset) using the provided screws. Install in a location that is protected to avoid getting damaged by impact. We have a Google Drive of suggested locations available for assistance. Be cautious to avoid damaging the beacon casing
-
PROVISION asset to your Kahi account, using the Kahi Configuration App:
- Open the App, tap the menu option in upper left and select “Assets”
- Tap the + button from the bottom right corner
- Choose whether you are adding a catalogued or uncatalogued asset (catalogued are branded assets with an ID plate, uncatalogued assets are more general items - ladders, garbage cans, etc)
- Take a clear picture of the cataloged asset ID plate
- Confirm asset details and Home Warehouse; SUBMIT. If branding details aren’t included in the ID plate or aren’t legible, the asset can be manually identified using the drop-downs, or as “unidentified” for our team to review later. Use of the Kahi Asset Model Report can help with determining if we have the brand in our catalog
- “Do you want to attach an Inventory Tag or Beacon” - tap YES, then SCAN QR code on the tracking beacon
- If the tracking beacon is ONLINE (battery installed, and communicating with your Warehouse Gateway) it will accept the beacon and is now trackable
- Steps for uncatalogued assets are similar, however asset Group and Category will need to be manually chosen. Use of the Kahi Asset Categories Report can help with determining if we have the brand in our catalog
4. ADD additional pictures for each asset: ID Plate, Beacon placement, and Full Asset
5. COMPLETE for each asset in your inventory

Helpful Advice
-
If you have 30+ or more pieces of equipment, we recommend organizing your operation into stations for inserting batteries, physically installing the beacons, and for final provisioning.
- Go one by one. Rather than install beacons one day on all equipment and provision the next, do all steps per asset at once. Assembly of the beacon, physical install to the asset, mobile app provisioning. This will prevent any from getting missed.
- Provision equipment by asset type. Dehumidifiers done one day, air scrubbers the next, and so forth.
-
Use a bright colour of painter's tape to stick to the Kahi beacon after it has been provisioned via the Kahi mobile app. This will be a visual clue that the asset was provisioned.
- No tape? Check the beacon by scanning it with the Kahi QR Scanner to ensure it was provisioned correctly.

If the manufacturer could not be identified: it’s possible it may not be listed in our database OR it is not visually included in the manufacturer ID plate.
- If we don’t have the manufacturer listed, you can manually add the asset as “Unidentified”. PLEASE include additional pictures that show the manufacturer label somewhere on the asset, so that our Inventory team can update this accordingly in our database. You can email support@kahi.io with additional information for these assets so that we can add them to our database.
- If the manufacturer name is not included in the ID plate, you can either manually identify the asset using the drop down columns or create a “manufacturer ID card” with the name of the Manufacturer printed and held above the ID plate for the picture to grab. Be sure to include a CLEAR additional photo of the asset with the Manufacturer name shown, so that our Inventory team can later identify and update the asset in our database.
-
Take three (3) pictures for each asset:
- one of the ID plate to gather information about the asset,
- one of the asset itself for physical identification purposes,
-
one showing the asset with the placement of the beacon (helpful when it comes time to change out batteries etc)
Below is an example of the three pictures required for each asset (Asset, ID Plate, Placement)
