With your warehouse created and your Kahi fixed gateway installed and provisioned, you will need to prepare beacons, install them to your inventory, and provision them with the Kahi Mobile app (available on the Apple App Store and Google Play Store).
TIPS & BEST PRACTICES
- The beacon needs to come online by communicating with the warehouse Hale gateway as it is activated in the Kahi system, so provisioning a beacon to an asset must be done at the warehouse with an installed Hale at this time.
- We plan to add a feature for remote provisioning in the future.
- If you have 30+ or more pieces of equipment, we recommend organizing your operation into stations for inserting batteries, physically installing the beacons, and for final provisioning. Many hands make light work, so if any additional staff are available, they can help as well.
- Go one by one. Rather than install beacons one day on all equipment and provision the next, do all steps per asset at once. Assembly of the beacon, physical install to the asset, mobile app provisioning. This will prevent any from getting missed.
- Provision equipment by asset type. Dehumidifiers done one day, air scrubbers the next, and so forth.
- Use a bright color of painter's tape to stick to the Kahi beacon after it has been provisioned via the Kahi mobile app. This will be a visual clue that the asset was provisioned. No tape? Check the beacon by scanning it with the Kahi QR Scanner to ensure it was provisioned correctly.

Step 1: Preparation (Battery & Friction Pad)
Before you provision a beacon, prepare by installing a battery. Start by unthreading the beacon cap and inserting the battery with the Plus ‘+’ sign facing up. Press down on the sleeve to ensure good contact. Screw cap back on, tightly.
PLEASE ensure that batteries are inserted correctly.
The "+" side of the battery needs to touch the "+" side of the metal battery casing
- TIP: As the battery is pushed in, you can (in low light) see a blue light flash briefly underneath the install panel of the asset. Look at the edge as you slide the battery in - it will be brief, but will indicate the battery/beacon is good to go!
Materials Included:
- Asset beacons (threaded lids)
- CR2477 Lithium Batteries (1 per beacon)
- Screws (2 per beacon to attach to asset)
Step 2: Installation
Now that the beacon has been prepared, it is time to physically install it to an asset. Each asset in your inventory should have one beacon installed.

Install your beacon in a spot that is preferably protected to avoid getting damaged by impact. Review our Google Drive link here for images of optimal beacon placements.

Use screws provided to install the beacon to your asset.
- If you are using a power drill to install the beacons, please use cautiously so as to avoid damaging/cracking the beacon casing.
Step 3: Provisioning
Now that the beacon has been physically installed, the asset needs to be provisioned using the Kahi Configuration Mobile App.
Kahi uses OCR (optical character recognition) technology for provisioning your assets.
- Download the Kahi Configuration app and login (ensure you have the updated version - v7.5.0 or greater. Tap the 'menu' icon in the upper left of the mobile app (three horizontal lines), and check the version code just above the "logout" button at the bottom).
- After physically affixing the beacon to your asset, select the ➕ button from the bottom right corner.
- You will be asked whether you are provisioning a Catalogued or Uncatalogued Asset type (note you can always switch between either category from the bottom of the camera screen):
- Uncatalogued assets are every day assets without manufacturer ID plate (ladders, small tools, meters, electrical cabling)
- Catalogued assets are assets that has a manufacturer ID plate (air movers, air scrubbers, dehumidifiers, etc)

Catalogued Asset provisioning:
- The next screen will ask you to take a clear, unobstructed photo of the manufacturer’s ID plate that includes the name of the manufacturer, model number and serial number.
- Ensure there are no shadows or bright lights obscuring the photo plate;
- Take the picture as straight-on as possible;
- Check to ensure the picture is legible (if you can’t read it, the technology can’t read it!). Crop out unnecessary labels or stickers if you can, to prevent the OCR technology from reading things that aren't necessary for product identification (safety labels, etc.)

Take three (3) pictures for each asset:
- one of the ID plate to gather information about the asset,
- one of the asset itself for physical identification purposes,
- one showing the asset with the placement of the beacon (helpful when it comes time to change out batteries etc)
Below is an example of the three pictures required for each asset (Asset, ID Plate, Placement)
- Confirm the picture and verify the details captured about the asset (note: you can also manually add in any information that was not captured in the picture at this stage)
- Confirm the home Warehouse for the asset. Submit.
- You will be asked "Do you want to attach a beacon to this asset"

- Select YES if you are tracking this asset with a Kahi beacon
- Select NO if you are adding the asset to your inventory ONLY (no tracking)
- SCAN the QR code on the beacon for the asset; the beacon needs to come "ONLINE" before it is activated. If your warehouse Gateway is not online or installed, your beacons will not be able to come online.
- If the manufacturer could not be identified: it’s possible it may not be listed in our database OR it is not visually included in the manufacturer ID plate.
- If we don’t have the manufacturer listed, you can manually add the asset as “Unidentified”. PLEASE include additional pictures that show the manufacturer label somewhere on the asset, so that our Inventory team can update this accordingly in our database. You can email support@kahi.io with additional information for these assets so that we can add them to our database.
- If the manufacturer name is not included in the ID plate, you can either manually identify the asset using the drop down columns or create a “manufacturer ID card” with the name of the Manufacturer printed and held above the ID plate for the picture to grab. Be sure to include a CLEAR additional photo of the asset with the Manufacturer name shown, so that our Inventory team can later identify and update the asset in our database.

- The next screen will ask you to take a clear, unobstructed photo of the manufacturer’s ID plate that includes the name of the manufacturer, model number and serial number.

Uncatalogued Asset provisioning:
- The next screen will ask you to take a clear, unobstructed photo of the ENTIRE asset, including any identifying labels (i.e, Unit ID)

Confirm the picture, then verify the asset details:
- Group type (select from drop down)
- Category type (select from drop down)
- Serial number and Unit ID
- Confirm the home Warehouse for the asset. Submit.
- You will be asked "Do you want to attach a beacon to this asset"

- Select YES if you are tracking this asset with a Kahi beacon, NO if you are adding the asset to your inventory ONLY (no tracking)
- SCAN the QR code on the beacon for the asset; the beacon needs to come "ONLINE" before it is activated. If your warehouse Gateway is not online or installed, your beacons will not be able to come online.

Note: You can add additional photos of the asset, which can be helpful for physical verification of the asset, as well as for our inventory team. Scroll to the bottom of the "asset details", and tap the camera icon if you want to take more.
- TIP: Before you begin provisioning your assets, send support@kahi.io an inventory list of the manufacturers and models of equipment you currently have in use. We can ensure the manufacturer/model types are in our database prior to your set up, mitigating any “unidentified” assets.
Complete these steps for all assets in your inventory.
